Submission Guidelines for Photos, Artifacts & Memorabilia
Purpose of Submissions
The Prempeh College Heritage & Digital Museum welcomes contributions that help preserve and tell the
story of Prempeh College, its students, alumni (Amanfoɔ), staff, traditions, and milestones. Submitted
materials will support exhibitions, digital archives, research, and educational programming.
What You Can Submit
Photographs
- Class photos, house photos, sports teams, clubs, and societies
- Campus life, ceremonies, events, and visits
- Black-and-white or colour photographs
- Digital photos or high-quality scans of physical photos
Artifacts & Memorabilia
- School uniforms, badges, crests, trophies, medals
- Books, handwritten notes, letters, certificates
- Sporting equipment, musical instruments, regalia
- Event programmes, posters, memorabilia
- Approved digital content (videos, audio recordings)
Documents & Records
- Official publications, magazines, newsletters
- Letters, speeches, citations, or academic materials
- Materials linked to major school or alumni milestones
Submission Requirements
For All Submissions
Please provide the following information:
- Contributor’s full name and contact details
- Class year / affiliation (if applicable)
- Brief description of the item
- Approximate date or period
- Names of people featured (where known)
- Context or story behind the item
Submissions without adequate information may not be accepted.
Photo & Digital File Specifications
- Accepted formats: JPG, PNG, TIFF, PDF, MP4 (short clips)
- Minimum resolution for photos: 300 dpi (where possible)
- Files should be clear, unedited, and unwatermarked
- Multiple files should be clearly labelled
Physical Artifacts Submission
- Physical items must be approved before delivery
- Contributors will receive handling and delivery instructions
- All items must be clean, stable, and safe to handle
- Fragile or valuable items may require special assessment
Ownership & Usage Rights
- Contributors must confirm they own the item or have the right to submit it
- By submitting, contributors grant the Museum permission to digitize, display, reproduce, and archive the material for educational and non-commercial purposes
- Ownership remains with the contributor unless formally donated
Donation vs Loan Options
Contributors may choose:
- Permanent Donation – item becomes part of the Museum’s permanent collection
- Long-term Loan – item is displayed or archived for an agreed period
Terms will be documented formally.
Review & Selection Process
- All submissions are reviewed by the Museum Curatorial Committee
- Not all submissions will be displayed immediately
- Selection is based on relevance, condition, authenticity, and storytelling value
- Some items may be used exclusively for digital archives or research
Care & Preservation
- The Museum commits to professional handling and preservation
- However, the Museum cannot guarantee permanent display of all items
- Contributors will be notified if an item is no longer suitable for exhibition
Acknowledgement & Credit
- Contributors will be acknowledged where appropriate
- Major contributions may be recognized on donor or contributor listings
How to Submit
Digital Submissions
Submit via the Museum Submissions Form on PrempehMuseum.org.
Physical Items
Approval required before drop-off or shipment.
Instructions will be provided by the Museum Secretariat.
Important Notes
- The Museum reserves the right to decline submissions
- Submitted items must align with the Museum’s mission and standards
- No hazardous, perishable, or inappropriate materials will be accepted
